Job Purpose
The Policy & Administrative Assistant will assist the Secretary General and Senior Policy Officer in keeping under review and summarising EU legislative proposals that impact on the architectural profession.
S/he will also provide support for the external advocacy work of the Presidency, Secretary General and others, contributing to the production and dissemination of information to the Member Organisations and providing full assistance for the planning, coordination and administration of work group meetings and occasional assistance for the statutory meetings.
Duties & Responsibilities (non-exhaustive list
The Policy & Administration Assistant mainly undertake work in the following areas:
Analysis & synthesis of EU policies
Undertake policy research and analysis and advise on policy positions;
-Monitor legislative / non-legislative activities of EU institutions that are of specific interest to architects or impact on the profession;
-Produce briefings / guidance for ACE work groups on subjects determined by the General Assembly and Executive Board;
-Help to Identify emerging issues and related policy decisions;
-Support and contribute to work planning;
Support for external advocacy activities
-Provide support for the external representations of others including points of contact with EU officials
-Liaise and coordinate with other professional organisations and provide support for others involved in external liaison and coordination
-Provide input to activities developed in the area of inter-professional relations in the construction sector, as well as with other professions
-Assist the SG, President and others, as necessary, with the preparation of policy presentations.
Administrative assistance
-Assist with preparation of work group meetings (agenda, documentation, logistics)
-Maintain up-to-date lists of work group members
-Undertake miscellaneous projects as directed
-Follow-up and planning of the presidential agenda and invitations
Education & Skills required
The Policy & Administration Assistant must have the following qualifications / attributes:
At least bachelor’s degree in a relevant subject area (European Affairs, Political Science, European Law)
At least 1 years’ experience. Experience of working in a European institution or as an assistant for an MP (at national level or a MEP at EU level) would be an advantage
Some knowledge of architectural policy / the architectural profession would be an advantage
Fluent English & French
Excellent analytical and writing skills
Flexibility and willingness to assist as the need arises
High level of computer literacy - Microsoft Office, Google suite, Zoom, shared tools (Dropbox, calendar, contacts etc).
Working conditions
Work is based in Brussels
1-year employment contract, with possibility of extension
Full-time
Regular office hours, we currently allow 2-3 days per week of home-working
Occasional need for evenings or weekends
Occasional travel necessitating overnight stays in other EU Member States
